Using an agile Innovation Cycle, TAAP iteratively built, tested, and refined the application daily, capturing requirements and configuring the platform in real time.

The resulting system automated scheduling by priority cohort, managed “waves” of vaccination aligned with stock levels, and handled all communications via email and SMS reminders. TAAP Vaccine Management for Imperial College NHS Trust

The COVID-19 pandemic created unprecedented challenges for healthcare systems worldwide. Vaccines were developed and distributed at record speed, but the rollout posed immense operational difficulties.

In the UK, every vaccine dose represented a costly and life-saving intervention. Each file needed to be tracked and every patient scheduled, recorded, and reminded without delay. The NHS Trust faced the daunting task of vaccinating its staff and high-priority groups during a period of extreme uncertainty. 

With the vaccine available in just 10 days, the Trust required a system capable of real-time scheduling, prioritisation, and communication—operating across multiple hubs, extended hours, and under strict clinical and logistical rules. It was in this environment that TAAP was engaged to deliver a fully automated service that could meet life-and-death operational constraints.

The Medical Director’s Office needed a live solution within 10 days. Three vaccination hubs, running from 7am to 11pm, each with trained staff, limited resources, and variable vaccine supply.

Guidance from government and suppliers was shifting daily—including changes from dual-dose to single-shot vaccine administration.

Thousands of staff required automated email and SMS reminders to ensure attendance.

The system needed to run without ongoing administrative or IT burden, other than defining vaccine availability.

TAAP deployed its Application Platform directly into the heart of the NHS Trust’s operational environment.

Two TAAP consultants sat with the Medical Director’s team, working through requirements in real-time Innovation cycles.

On day 1, the innovation cycle consisted on capturing the needs and requirements through collaborative discussions for 4 hours.

Followed by 4 hours spent configuring the platform.

On day 2 to day 9, the innovation cycle consisted on demonstrating live prototypes for an hour, followed by a 2 hour feedback session with the stakeholders. An other session of 2 hours was spent refining the solution then 3 hours configuring the platform.

And on day 10, the app was ready to go live!

This Innovation Cycle provided a dynamic and agile approach to development.

It enabled not just rapid build-out but also the incorporation of lessons from previous vaccination programmes, which had been hampered by heavy manual administration. For the first time, the Medical Director’s Office could test and shape ideas live on a functioning system, rapidly aligning the technology with evolving policy and clinical needs.

Within 10 days, TAAP delivered a fully automated vaccine management system with automated scheduling identifying priority cohorts and allocated time slots.

The system supported “waves” of vaccination aligned with available stock.

The booking process was streamlined which enabled staff to self-book appointments across three hubs.

With an automated communications feature, the system sent personalised email joining instructions, SMS reminders, confirmations, and day-before and day-of notifications.

On-site tracking facilitate the recording of arrivals and vaccinations in real-time.

Integrated with NHS systems, it replaced legacy booking tools with a simpler, scalable solution.

No admin maintenance required: Beyond the vaccine batch input, the system was fully automated.
